To support its growing role in European e-mobility, VDL invested in a new state-of-the-art factory in Roeselare, Belgium. Officially inaugurated in early 2023, the 20,000 m² facility is designed for optimal efficiency and sustainability, featuring smart pre-assembly, abundant natural light, rainwater reuse, and green infrastructure. This site significantly increases production capacity — up to 800 electric buses per year — and serves as one of VDL’s key hubs for zero-emission manufacturing in Europe.

VDL Bus Roeselare – Deliveries, manual work & limited traceability

For VDL Bus Roeselare,  the supply chain is the heartbeat of production— every bus relies on thousands of components arriving at the right time and place. When materials aren’t where they need to be, production slows or stops entirely.


Before SCOPTIS got involved, VDL Bus Roeselare faced several recurring issues in their internal logistics and supply processes:

  • Uncoordinated supplier deliveries, leading to fluctuating stock levels — sometimes too much, sometimes not enough.

  • Manual registration of stock movements, creating errors and delays between logistics and production visibility.

  • Limited traceability once goods entered the factory, making it difficult to know where materials were and when they’d be available.


The main goal was clear: streamline the delivery process from suppliers and ensure that goods reach the right place at the right time inside the factory — with less manual work and more control.

SCOPTIS – Process optimisation and beyond

VDL Bus Roeselare engaged SCOPTIS to analyse and optimise their internal workflows, aiming to stabilise deliveries and improve coordination between logistics and production.


Phase 1: Process Optimisation

Together with the VDL Bus Roeselare team, we mapped existing workflows and identified three key challenges:

unstructured deliveries, routine-based execution, and heavy reliance on manual updates.


We introduced concepts such as cargo consolidation and “warehouse on wheels” to make material flow more predictable and better aligned with production needs.


However, it quickly became clear that process improvements alone wouldn’t be enough — without digital tools, real visibility and traceability would remain out of reach.


Phase 2: The Digital Step Forward

Six months into the redesign process, we proposed a digital solution to bring real-time traceability and structure to the supply chain.

Within three months, SCOPTIS designed and delivered a lightweight WMS system, providing the foundation for digital registration and process control.


This marked the start of a long-term collaboration, in which the system — later named StreamLine — evolved step by step into a fully visual, automated management layer built on the Lobster data platform.

Results

Through the introduction and gradual evolution of StreamLine, VDL Bus Roeselare has gained complete end-to-end visibility across its internal and external supply chain.

  • Full traceability from goods reception to production, supported by scanning and digital registration.

  • Real-time insights via visual dashboards for stock, deliveries, and material movements.

  • Automated workflows for replenishment, picking, and notifications, reducing manual tasks and errors.
